Section 1

Introduction

Midflow is a workflow management platform designed to help small agencies stay organised and compliant. By connecting tools such as Gmail, Outlook, Google Drive, OneDrive, Google Sheets, and Excel, you can automate day-to-day processes and reduce compliance risk.

These Terms and Conditions govern your use of the Midflow service. By accessing or using Midflow, you agree to be bound by these terms. If you do not agree to these terms, please do not use our service.

To use the platform, you must be at least 18 years old and have the legal capacity to enter into binding agreements. The service is not intended for minors.

The service is currently intended for users operating in the United Kingdom. By using Midflow, you represent and warrant that you meet these eligibility requirements.

Section 2

Services Provided

Midflow provides tools to streamline workflow and compliance operations for small agencies. Core features may include:

  • Property and tenancy management workflows
  • Certificate tracking, reminders, and renewal monitoring
  • Maintenance task logging and progress tracking
  • Contractor coordination and communication records
  • Appointment scheduling support
  • Sales and lettings pipeline visibility
  • Document and communication integrations
  • Messaging support (including email and SMS, where enabled)

We may update, improve, suspend, or remove features over time, including beta or experimental functionality. Service availability is provided on an "as available" basis and is not guaranteed to be uninterrupted at all times.

Section 3

Accounts

To register an account, you must provide accurate and complete information, which may include your email address, password, and agency details.

You are responsible for maintaining the confidentiality of your login credentials and for all activity carried out through your account. You must notify us promptly if you suspect unauthorised access or a security breach.

You may close your account at any time. Midflow may suspend or terminate accounts that breach these terms, misuse the platform, or engage in unlawful activity.

Following termination, we may retain account data for a limited period (for example, up to 30 days) to support account recovery, legal obligations, or audit requirements, after which data may be deleted in accordance with our retention policy.

You remain responsible for ensuring your use of the service is lawful and does not interfere with the rights or operations of others.

Section 4

Acceptable Use

You must not use Midflow to store, transmit, or process unlawful, harmful, fraudulent, defamatory, or infringing content.

Prohibited activity includes attempting unauthorised access, disrupting platform performance, sending spam, misusing messaging functionality, reverse engineering protected systems, or otherwise abusing the service.

If you become aware of a potential breach of these terms, you can report it by emailing [email protected] or by raising a support ticket within the application.

Section 5

Payment & Data & Privacy

Where paid plans apply, fees, billing cycles, and any applicable taxes will be shown during sign-up or renewal. Unless otherwise stated, charges are due in advance for the selected billing period.

You retain ownership of the data you upload to Midflow. You grant Midflow a limited right to process that data solely to provide, maintain, and improve the service.

Any third-party integration is enabled at your discretion and may involve separate terms from the relevant provider.

You are responsible for ensuring that any tenant, customer, or contractor data you process through Midflow is collected and handled lawfully, including compliance with UK GDPR and other applicable data protection laws.

Section 6

Third-Party Integrations

Midflow may connect with third-party services, including Google and Microsoft tools, SMS or messaging providers, and other external APIs.

Your use of third-party services is subject to those providers' own terms and privacy policies. Midflow does not control and is not responsible for external platform outages, API changes, or provider-side restrictions.

Integrations may be modified, replaced, or removed if technical, legal, or commercial circumstances require it.

Section 7

Communications & Messaging

You are responsible for all message content sent through Midflow, including emails, SMS, reminders, and notifications.

You must obtain any consent required by law before sending communications and must comply with anti-spam, marketing, and privacy regulations.

Delivery outcomes are dependent on third-party networks and recipient systems, and are therefore not guaranteed. Where available, tracking and acknowledgement features are provided for operational assistance only.

Section 8

Reminders & Notifications

Reminder and notification tools are provided to help users manage important dates and workflow actions, such as certificate renewals, maintenance follow-ups, and communication prompts.

You are responsible for configuring reminders correctly and verifying that your notification settings remain active and accurate.

Because notifications may depend on third-party services and user settings, Midflow cannot guarantee that every reminder will be delivered on time or at all times.

Section 9

Liability

Midflow is provided as a workflow support tool and does not constitute legal, financial, or regulatory advice.

You remain solely responsible for your legal and compliance obligations, including statutory deadlines, safety requirements, and record-keeping duties.

To the maximum extent permitted by law, Midflow excludes liability for indirect, incidental, or consequential loss arising from use of the service, including losses linked to delayed or missed reminders. Nothing in these terms limits liability where such limitation is not permitted by law.
